Job Description - Introduction

Full time, permanent.

Location

The role is based at our offices in North Leeds.

Whilst currently exceedingly rare, there may be occasions when some travel, potentially with overnight stays, is required.

Job Purpose

To work within the Anderstore Group in providing and developing its high quality fire protection business.

The employee will contribute, as part of a small team, by helping to:

  • deliver a first-class service experience to our customers;
  • ensure the smooth running and day-to-day administration of the Company;
  • support, and assist with the management of, our field staff;

Overview of Key Duties & Responsibilities

Assisting in Day-to-Day Administration

  • being involved in most aspects of the day-to-day administration of the Company, including:
    • administration of accountancy systems, most notably sales and purchase ledgers;
    • liaising with, supporting, and assisting with the management of, our field staff;
    • dealing with customer queries and complaints;
    • debt collection;
    • recording of absence and some absence management; and
    • many other tasks that help ensure the ongoing provision of a first class service.

Customer Service

  • Being a positive first or second point of contact for the Group’s customers.
  • Dealing with queries and complaints in a professional and structured manner.
  • Helping to turn dissatisfaction into a positive experience that retains custom;
  • Helping to book field calls and appointments for our field staff;
  • Following up on sales quotations;
  • Gathering customer feedback and the seeking of referrals;
  • Further the Group’s reputation and trade-standing through professionalism and good-practice.

Field Staff Support & Management Assistance

  • Dealing with queries and information requests from our field staff.
  • Helping to provide information to our field staff (including the use of public information sources to find missing or outdated information).
  • Supporting the engineers’ delivery of service quality;
  • Monitoring field staff’s working hours;
  • Helping to ensure compliance by field staff with the Company’s policies and procedures.
  • Managing the field staff’s outstanding/overdue work lists and issuing additional work as required.
  • Assisting in stock management and procurement
  • Escalating issues, etc. to management as required

Team Working

  • To communicate and work effectively within the Anderstore team.
  • To positively contribute in Anderstore team development initiatives and operations. Whether by mentoring, peer-support, leading, listening or by just being involved.
  • To maintain flexibility and liaise with the team with regards to service cover.
  • Communicating/Liaising with appropriate staff re time-management.
  • Participate in the development and implementation of team objectives in line with the Company policy.
  • To work alongside other senior members of the team in aiming to ensure that service delivery is of high quality and is evaluated appropriately.
  • To participate in, and facilitate, the training of colleagues and learners.

Self-Management

  • To organise their workload on an appropriate basis in an optimal manner.
  • To maintain a smart and professional appearance and to adhere to any appearance policies at all times.

Communication

  • Communicate professionally, effectively and empathically with customers and prospective customers. To deliver on promises and be an ambassador for the Company.
  • To help ensure that both written and verbal communication with the Company’s customers is suitably professional.
  • To ensure confidentiality.
  • Working effectively and affably within a small, friendly office team.

Quality

  • Help to ensure that the Company continues to work to, and to maintain an up-to-date awareness of, relevant British Standards (particularly BS 5306, BS 5839 and BS 5266) and legislation (including the Fire Safety Order (or, for Scotland, the Fire (Scotland) Act, and associated regulations)), etc.
  • Helping to ensure the Company’s ongoing successful accreditation and certification (as at the footer of this page);
  • To work within the Company’s quality auditing and management policies, guidelines, protocols and procedures.
  • Participate in effective supervision.
  • Promote the Company’s commitment to quality.

General

  • To promptly and properly assist the management in their queries or reasonable requests for information, assistance, etc.
  • To undertake additional miscellaneous duties consistent with working in a small team in a small office. Such duties may include making drinks, receiving deliveries, cleaning duties, etc.
  • Perform such other duties and exercise such powers and functions as may from time to time be reasonably assigned to or vested in him or her.
  • Any other duties or responsibilities as per contract.
  • Unless otherwise specified in any subsequent contract, the normal hours of work are on-site, logged on and ready for work, between 9.00a.m. to 5.00 p.m. on Mondays to Fridays, with one hour for lunch at a time that compliments any coworkers’ lunches and subject to the Company’s rules and policies.
  • Whilst currently exceedingly rare, some working outside of normal hours may also be necessary in exceptional circumstances.
  • Whilst not currently the norm, working alone in the office may be a requirement of the role (for example to cover colleagues' absences, lunch breaks, holidays, working away, etc.).

This position is line-managed by the General Manager.
